Who is responsible for your information?
Elite Finish Accident Repair Group is part of the Dash Claims Group and is operated by Dash Accident Management & Claims Ltd, the controller of personal information covered by this notice. Company number: SC813823. ICO registration: ZB821115.
Write to: G15 APL Centre, Stevenston Industrial Estate, Stevenston KA20 3LR. Email: repairs@elitefinisharc.co.uk. Telephone: 0300 3034886. Please mark privacy enquiries “Privacy request”.
Information you provide
We receive the information you send when requesting a repair quote, a callback or accident assistance: your name, telephone number, email or postal address, vehicle make and model, vehicle type, accident date, damage description, photographs and correspondence. Provide only information needed for your enquiry. Please do not include medical records, payment card details or identity documents in an initial enquiry.
Our website enquiry form prepares an email on your device. Clicking review does not deliver it to us: you must open your email app and press Send. We receive the details and your sender email address when you send that email.
If you submit a Google Ads lead form, Google collects the fields you submit and makes them available to us. These may include your name, phone number, email address and answers about your vehicle. Google also processes information under its own privacy policy. We may receive relevant updates from a repairer or other service provider involved in the assistance you request.
Why we use it and our lawful bases
We use enquiry details to contact you, assess your requirements, discuss quotes and availability, and take steps at your request before entering a service contract. The lawful basis is taking steps towards a contract, or performing a contract where one is agreed.
We also use necessary records to manage correspondence, resolve complaints, protect our business against fraud and establish or defend legal claims. We rely on legitimate interests in operating a secure, accountable repair enquiry service, balanced against your rights. Where records are required by law, including accounting obligations, we rely on legal obligation.
Submitting an enquiry is a request for contact about that enquiry. It does not sign you up for unrelated marketing. If we ask for consent for a separate purpose, you may withdraw it by contacting us; withdrawal does not affect earlier lawful use.
Who may receive your details?
Where needed to fulfil your request, information may be shared with the relevant bodyshop partner, recovery operator, vehicle hire provider, insurer or professional adviser. We limit sharing to what is relevant. If you request a separate claims or legal referral, we will explain the proposed provider and any additional information needed before arranging it. Providers acting independently have their own privacy notices.
Website hosting, email and IT providers process information needed to deliver and secure their services. Google processes information submitted through its advertising platform. Information may also be disclosed where required by law or to establish or defend legal claims.
How long information is kept
We keep enquiry information for the time needed to respond and conclude the enquiry, deal with follow-up questions or complaints, and meet applicable legal obligations. If an enquiry becomes a repair or claims matter, retention also depends on completion of the service, applicable accounting requirements and the period in which a related legal claim could be brought. Records needed for an ongoing dispute may be kept until it is resolved. You can contact us for the retention criteria applicable to your particular record.
Website technology and overseas processing
The website form uses your browser to prepare the enquiry. The current site code does not install Google Analytics or Google Ads conversion tracking, or set advertising cookies. Hosting infrastructure may process technical data such as IP addresses, requested pages, device information and security logs to deliver and protect the site. Google’s own pages and lead forms operate separately under Google's policies.
Hosting, email and advertising services may process data outside the UK. Where a restricted international transfer takes place, an applicable UK adequacy arrangement or approved contractual safeguards are required. Contact us for details of the providers and safeguards relevant to your enquiry.
Your choices and rights
Providing enquiry information is voluntary. Your name, telephone number and a brief service description are required by the website form so we can understand and respond to your request; other website fields are optional. Google lead forms identify their required fields. Without suitable contact details we may be unable to respond.
Depending on the circumstances, you can request access, correction, deletion, restriction or transfer of your personal information. Where processing relies on consent, you can withdraw it.
You have the right to object to processing based on legitimate interests, and to object to direct marketing at any time. Contact repairs@elitefinisharc.co.uk to exercise your rights. We may need information to confirm your identity. These rights are subject to applicable legal conditions and exemptions.
This enquiry service does not make solely automated decisions about you with legal or similarly significant effects.
Questions or complaints
Please contact us first so we can investigate your concern. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint/.
We will update this page when the enquiry service or its use of personal information changes. A separate notice may be provided for services beyond the initial enquiry.
